Position Summary
Manage all instructional grants for the Learning Services department including writing grant applications, communicating
with supervisor and grant agency, submitting grant applications, supporting grant implementation, and completing grant
program and financial reports.

Essential Duties
Grant Writing and Submission:

Identify, research, and write grant proposals in support of district goals.

Prepare state, federal and other grant applications in coordination with the grant supervisor of
each grant.

Submit and manage electronic grant applications for state and federal grants.

Understand and apply grant guidelines for the purposes of writing grants, implementing programs
funded by grants, and monitoring grants.
Grant Coordination and Administrations:






Serve as primary point of contact for all audits related to grants including collecting required
information, meeting deadlines, communicating with auditors, and addressing deficiencies.
Retrieve and organize data using district student information system and assessment applications
for grant applications and monitoring reports.
Communicate regularly and appropriately with grant agencies, grant supervisor, school
administrators and staff, and business office.
Support school leaders and serve as liaison with grant monitoring, program implementation, and
record keeping.
Manage required electronic and paper document of grant applications, monitoring documents,
and communication.
Financial Responsibilities:


Manage and submit expenditure reports to ISBE, using the state IWAS system for submission to
the business office for both state and federal grants for D203.
Analyze grant expenditures and revenue in district accounting system to ensure alignment with
grant and prepare monthly reports.

Provide documentation to correct expenditure account inaccuracies in district accounting system.

Understand and apply the financial guidelines and rules/laws for each grant.

Monitor overall grant budget and communicate status of the budget to the grant supervisor and
district business office.
Determine and advise appropriate administrator when financial amendment should be
considered.
Responsible for preparing and/or collecting financial documentation for audit

Provide reports to internal staff as requested
Skills:

Written and oral communication, problem solving, reading and interpreting grant guidelines,
researching, time and task management, organization, proficiency with Microsoft office suites
especially Excel.
Knowledge:

Understanding of federal and state grants including the state reporting system, general
understanding of accounting, awareness of educational services. Grant writing. Financial
Management software and principles.

Education and Experience
 Bachelor Degree with coursework in finance, accounting, auditing, or related field.
 1-3 years’ experience in position requiring exceptional coordination skills.
 Experience with grants preferred
 Experience in K-12 preferred
